How much do managed IT services cost?

Most Indian SMBs spend between ₹800 and ₹3,500 per user per month for fully managed IT support in 2026, depending on how deep the coverage goes (helpdesk hours, response SLAs, cybersecurity stack, cloud management, on-site visits). Bare-bones remote helpdesk plans start around ₹500/user/month; fully managed, 24×7, security-included plans on strict SLAs can reach ₹4,000–₹6,000/user/month for regulated industries.

Global benchmarks put comparable US plans at $100–$250/user/month — useful context if you're comparing offshore providers.

The number that matters is not the sticker price. It's the effective cost per resolved incident and the cost of downtime avoided. A plan that looks 30% cheaper but excludes after-hours support, patching, or endpoint security almost always costs more once you add the ad-hoc fixes back.

The two pricing models you'll be quoted

1. Per-user pricing

What SLA tier are you actually buying?

SLA (Service Level Agreement) tiers are where quotes diverge the most. Ask providers to put response time, resolution time, and coverage window in writing.

  1. User / device count — the base multiplier.
  2. Number of servers and cloud tenants — a single Azure/AWS tenant with 3 VMs can add ₹15,000–₹40,000/month for monitoring, patching and cost governance.
  3. Cybersecurity stack included — EDR/XDR (₹200–₹600/endpoint/month), email security (₹150–₹350/mailbox), MFA management, SIEM/SOC coverage.
  4. Backup & disaster recovery — endpoint backup, Microsoft 365 backup, on-prem/cloud DR runbooks. Budget ₹200–₹800/user/month depending on RPO/RTO targets.
  5. Compliance overhead — ISO 27001, SOC 2, HIPAA-style controls add reporting and audit work. Usually 10–20% on top of the base plan.
  6. On-site visits — bundled? Or ₹1,500–₹4,000 per visit + travel? Multi-city businesses should negotiate a monthly on-site allowance.
  7. Onboarding / transition — one-time fee to document your environment, deploy agents, migrate tickets. Typically ₹25,000–₹2,00,000 depending on complexity.
  8. Project work — Cloud migrations, network refresh, new office setup are almost always billed separately at day rates (₹8,000–₹18,000 per engineer per day).

Hidden costs to catch in the contract

  • After-hours "emergency" rates on lower-tier plans — often 1.5× to 2× standard.
  • Ticket caps — some "unlimited" plans throttle after N tickets/user/month.
  • Third-party licence pass-through markups (Microsoft 365, antivirus, backup) — 5–15% is common; get it in writing.
  • Auto-renewal + notice period — 60–90 day windows are typical. Negotiate to 30.
  • Offboarding fee — data export, deprovisioning, knowledge transfer at contract end.
